Vetuz helps people keep a verified record of their work history and share it, with their consent, with employers and other organisations. This policy explains what personal information we collect, why, and the choices you have. We handle personal information in line with the Australian Privacy Principles and, where they apply to you, other privacy laws such as the GDPR.
Information we collect
- Account details: your name, email address, mobile number (if you add one) and a securely hashed password.
- Profile information you add: employment history, education, skills, documents and photos.
- Identity information, such as a passport or national ID number, used only to confirm who you are and prevent duplicate accounts. ID numbers are encrypted and only ever shown masked.
- Records created by employers about your employment, such as confirmations of your role and dates, and ratings.
- Activity records: share codes you create and every check run on your profile (who checked it, when and why).
- Technical information such as IP address and browser type, used for security and to keep the service running.
How we use it
- To create and secure your account, including sending sign-in and verification codes.
- To confirm employment and education records with the employers and institutions involved.
- To show your verified record to an organisation only when you give them a share code or approve their request.
- To detect fraud, duplicate identities and misuse of the service.
- To meet our legal obligations.
We do not sell your personal information and we do not use it for advertising.
Who can see your information
Employers and verifier organisations can see whether a profile exists and a masked version of your name. They can see your full verified record only with a valid share code from you. Codes expire on their own and you can switch them off at any time. Every check is logged and shown to you under "Who viewed my profile".
We use trusted service providers to run Vetuz, including cloud hosting and email delivery. They process information only on our instructions. Some of them may store data outside your country; where that happens we take steps to make sure it stays protected.
Your choices and rights
- See and update your profile at any time.
- Switch off share codes and see who has viewed your record.
- Ask for a copy of your information, or ask us to correct it.
- Dispute a record created by an employer; corrections go through a review, and you have a right of reply.
- Ask us to close your account and delete your information, except where we must keep it by law or to prevent fraud.
Keeping information safe
Passwords are hashed, ID numbers are encrypted, connections use HTTPS, and access is limited and logged. No system is perfectly secure, but we work to protect your information and will tell you and the relevant regulator if a serious breach occurs.
